How to share templates

In Noteless you can share templates with colleagues in your organization. When you share a template, you decide how much access each person gets — from view-only to full editing. This article shows you how.

⚠️ Template sharing is only available if you are part of an organization on a clinic agreement. If you're using Noteless as an individual user without an organization on a clinic agreement, the sharing option won't be available.

Step by step

  1. Open the Menu on the left side.

  2. Hover over the template you want to share. A three-dot menu icon (⋮) appears to the right of the template name.

  3. Click the three dots to open the menu, then select Share.

  4. The Share template window opens. Here you'll see the teams and members in your organization.

  5. Find the team or person you want to share with. You can scroll through the list, use the Search field at the top, or filter by department using the All departments dropdown.

  6. Click the access level to the right of the name and choose the level you want from the dropdown.

Changes are saved automatically. When you're done, close the window using the (×) in the top-right corner.

Access levels

For each team and person, you can choose between three levels:

  • Can view – the person can see and use the template, but not change it.

  • Can edit – the person can both use and make changes to the template.

  • No access – the person has no access to the template. This is the default.

You can return to the Share template window at any time to change or remove access by setting the level back to No access.

Sharing with an entire team

In addition to individuals, you can share a template with whole teams. Teams appear at the top of the list along with their member count, for example "Team 1 (10 members)". When you choose an access level for a team, it applies to the members of that team.
